
About the Role
Alphacrucis University College (AC) is seeking a highly organised and service-focused Professional Experience Administrator to support the coordination and administration of professional experience placements across our education programs.
The role is responsible for coordinating the administrative requirements of student placements in schools and early childhood centres, maintaining accurate placement records, supporting students and placement providers, and developing positive relationships with schools and centres.

Key Responsibilities
In this role, you will:
- Source schools and early childhood centres for student placements through email and telephone communication.
- Establish and maintain positive, ongoing relationships with partner schools and centres.
- Coordinate and maintain accurate placement information in Sonia Online, including provider, student and placement records.
- Ensure placement details are accurate, including KLA/Stage, placement dates, mentors and Professional Experience Coordinators.
- Communicate placement information clearly to students, schools and early childhood centres to support successful placements.
- Monitor students’ mandatory placement requirements and documentation, escalating outstanding or non-compliant matters to the Director of Professional Experience.
- Provide day-to-day support to students undertaking professional experience, responding to enquiries and directing students to appropriate support.
- Liaise with the Director of Professional Experience regarding student placements and escalate issues or concerns as required.
- Maintain accurate records of placement-related communications and activities.
- Process and record payments to mentor teachers.
- Ensure administrative practices uphold the duty of care owed to children and reflect appropriate professional standards within school and early childhood settings.
- Undertake other placement-related administrative duties as required.

Essential Criteria
- Completion of a Certificate IV, Diploma or Bachelor’s degree from a recognised institution.
- Relevant and proven administrative experience.
- Experience maintaining databases and accurate records.
- Experience processing payments or financial administration.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Excellent organisation and time management skills.
- A customer-service-focused approach and confidence communicating with a range of stakeholders.
- Ability to work collaboratively as part of a team and independently manage competing priorities.
- A professional, courteous and positive approach to work.
- Commitment to the Christian faith, which informs professional and personal choices and commitments.
Desirable
- Experience working in education, higher education, schools or early childhood settings.
- Experience using student placement, student management or database systems such as Sonia Online.
Training will be provided, including role-specific systems and processes.
